Job Description

The Executive Assistant at Teleport Manpower Services will be responsible for managing administrative, clerical, and communication tasks to support the company’s management and operational teams. This role requires excellent organizational skills, attention to detail, and the ability to handle confidential information with discretion.

Key Responsibilities:

  • Scheduling and Coordination: Manage calendars, plan meetings, and coordinate both internal and external appointments for executives.
  • Communication Management: Draft, review, and manage emails, reports, and official correspondence in a professional and timely manner.
  • Documentation and Reporting: Prepare reports, maintain records, and assist in creating presentations or documentation required by management.
  • Follow-ups and Reminders: Ensure that tasks and projects are completed within deadlines by maintaining structured follow-up systems.
  • Meeting Support: Take notes during meetings, summarize discussions, and distribute minutes to relevant stakeholders.
  • Operational Assistance: Handle day-to-day administrative tasks, including file management, travel planning, and expense documentation.
  • Cross-department Coordination: Liaise between departments to ensure smooth communication and efficient workflow.

The role begins with a short training period (2–3 days at the office) to familiarize the candidate with company systems, internal communication tools, and workflow.
