Job Description
Position: Manager – Administration
Department: Administration
Location: Karachi, Pakistan
The Manager – Administration plays a critical role in ensuring the smooth and efficient operation of the company’s administrative functions. This leadership position is designed for an experienced professional who can oversee facility management, housekeeping, logistics, and security, while upholding Sarena’s standards of operational excellence and employee welfare.
Key Roles and Responsibilities:
- Facility Management:
- Ensure that all factory premises, hostels, and office areas are maintained in excellent condition through regular inspections and timely repairs.
- Supervise civil, electrical, and maintenance teams to ensure prompt execution of facility-related tasks.
- Oversee all renovation and construction projects, ensuring that layout plans are followed accurately and all safety measures are adhered to.
- Vendor and Utility Management:
- Manage relationships with utility providers and ensure timely payment of all utility bills.
- Monitor supplier performance to resolve disputes, minimize billing discrepancies, and ensure service reliability.
- Evaluate and update vendor lists regularly to ensure that only quality service providers are engaged, especially for canteen, housekeeping, and transportation services.
- Housekeeping and Hygiene Standards:
- Maintain high standards of cleanliness and hygiene across offices, hostels, and canteen areas.
- Implement cleaning schedules and ensure that all hygiene SOPs are consistently followed.
- Monitor canteen operations, ensuring hygienic food preparation and distribution standards are met.
- Cost Optimization and Budget Control:
- Manage administrative budgets effectively, ensuring cost reduction in key expense heads such as logistics, hostel operations, entertainment, fuel, and maintenance.
- Analyze expenditure reports and recommend strategies for cost efficiency without compromising service quality.
- Preventive Maintenance and Reporting:
- Develop and execute quarterly preventive maintenance schedules.
- Present preventive maintenance reports to the GM Administration, highlighting completed activities, upcoming requirements, and resource utilization.
- Transportation and Driver Management:
- Maintain accurate records of drivers and staff transportation systems.
- Conduct background checks for all drivers and ensure compliance with safety and operational protocols.
- Monitor vehicle performance, fuel usage, and maintenance records.
- Security Management:
- Oversee security operations for all buildings and ensure staff safety through proper access control, surveillance, and visitor management.
- Train security staff to handle emergencies and enforce SOPs for inward and outward entries.
- Coordinate with external security agencies for enhanced vigilance and risk management.
- Administrative Compliance and Documentation:
- Ensure that all administrative operations comply with internal and external policies.
- Maintain proper documentation for vendor contracts, facility reports, and security protocols.
- Regularly update internal audits and compliance checklists.
- Employee Welfare and Environment:
- Foster a safe and supportive workplace environment.
- Maintain open communication with staff regarding canteen food quality, hostel facilities, and transportation.
- Address employee feedback promptly to improve satisfaction and operational standards.
- Cross-Department Coordination:
- Collaborate with HR, Engineering, and Production departments to align administrative support with business needs.
- Participate in management meetings to plan infrastructure upgrades, cost management, and welfare initiatives.
This position demands not only technical and operational expertise but also leadership, strategic planning, and strong communication skills. The Manager – Administration must demonstrate initiative, accountability, and the ability to handle multiple responsibilities in a fast-paced manufacturing environment.
Eligibility Criteria
To qualify for the role of Manager – Administration at Sarena Apparel (Pvt.) Ltd., candidates must possess a blend of education, experience, and leadership capabilities suitable for managing large-scale industrial administration.
Educational Qualification:
- A minimum of 16 years of relevant education in Business Administration, Management, or Industrial Engineering from an HEC-recognized university.
- Candidates with additional certifications in Facility Management, ISO Standards, or Occupational Safety will have an advantage.
Experience:
- Minimum 12 years of relevant experience in administration, preferably in textile, manufacturing, or industrial environments.
- Proven track record in managing large premises, multiple facilities, and diverse vendor networks.
- Experience in cost optimization, preventive maintenance, and facility compliance.
Required Skills and Competencies:
1. Technical and Operational Expertise:
- Strong understanding of factory management, utilities, housekeeping systems, and maintenance scheduling.
- Knowledge of industrial safety, electrical maintenance, and SOP implementation.
2. Leadership & Communication Skills:
- Ability to lead cross-functional teams effectively.
- Excellent verbal and written communication skills in English and Urdu.
- Conflict management and negotiation skills with vendors and staff.
3. Analytical and Planning Abilities:
- Strong analytical skills to review performance data and optimize administrative efficiency.
- Proficiency in developing reports, evaluating vendor performance, and creating cost-control plans.
4. IT and Reporting Tools:
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
- Familiarity with ERP systems or similar management tools is highly desirable.
5. Personal Attributes:
- Integrity, attention to detail, and commitment to operational excellence.
- Problem-solving mindset and ability to work under pressure.

Preferred Background:
